How To Address A Certified Letter Envelope

certified mail or recorded mail, in other countries known as "courrier recommandã©", "aangetekende zending of brief", "einschreiben", is provided by all postal organizations around the world to deliver items requiring a signature of the receiver of the letter.

How To Address A Certified Letter Envelope, well, if you often send certified mail, you know how time consuming the process is. the solution demonstrated in this movie, reduces the effort to generate the necessary forms considerably.

with only a few exceptions, the process of sending certified mail involves following manual steps: the postal service provides forms with bar code stickers, which need to be placed on each envelope. the address of each mail item is manually copied on the form. if you want a confirmation receipt, the address needs to be copied a second time on the receipt which will be returned after delivery. sending dozens of registered mail items every day, quickly becomes a cumbersome error prone process.

even for only 7 letters and without confirmation receipt, it's too painful to watch, so let's do fast forward to a better solution. with our certified mail solution, you just stick the bar codes on the envelopes and scan them. you can load mixed sizes in the auto-feeder. bar codes are recognized and images are auto-rotated based on the orientation of the text. you can scan thick items with the fast flat bed scanner. then just draw a rectangle around the addresses.

this is the equivalent of copying the address manually on the forms, but in a fraction of a second. the certified mail form is then printed, completely filled out. we printed the addresses twice on label paper, so we can also stick the address on the confirmation card. but you can also print the list on regular paper and only print the confirmation labels with a label printer for the mail items that require the confirmation receipt option. the overall process takes only a fraction of the time it would take to fill out the forms manually.

you can also search for the items with a document management system of choice. here we use the standard search in windows 7. for example, searching for ca 9 returns a list of items sent to california with a postal code starting with 9. we now have access to the full image and bar code for tracking. here is a summary of the benefits. no need any more for time consuming manual copying of addresses. no more mistakes because a perfect match between bar codes and addresses is guaranteed.

the system produces standard certified mail forms and can easily be adjusted to any local form layout. you can use any windows printer to produce the lists. and label printers with a standard windows driver can be used to generate confirmation receipt labels. for tracking you can search any mail item by bar code or address and once you experience the benefits of document scanning, you soon will start using the system for other applications such as tracking incoming mail

or storing and searching accounting documents. for more information, please contact us to talk about improving your certified mail process. you can also find more information on the belgapost and capturebites web site.
